Summary of main functions and responsibilities:
- – Support for programs and projects
• Support the preparation, implementation and monitoring of annual work plans (AWPs), ensuring that planned results and coding are aligned with organizational priorities.
• Perform transactions in SAP and ensure data accuracy, track project implementation, monitor expenses and process changes as needed.
• Assist in drafting contributions to program reports, dashboards and performance indicators using digital tools.
• Liaise with colleagues responsible for programs and operations to resolve transactional or procedural issues
- – Administrative and financial support
• Facilitate the processing of contracts (consultants, suppliers, partnerships), including the downloading of terms of reference, Service Gateway transactions and logistical arrangements.
• Manage office calendars, coordinate team meetings, draft meeting minutes/reports and ensure proper filing and distribution of correspondence and files.
• Maintain up-to-date systems for tracking staff leave, absences and team events.
• Prepare documentation for financial monitoring, such as control plans and budget reports.
• Collect and facilitate the processing of invoices and payment requests via VISION and Service Gateway.
• Conduct quarterly physical checks of office assets, submit purchase requests for replacements and update asset registers in accordance with UNICEF asset management policies.
• Update and validate databases
- – Operational support and assistance with travel
• Provide travel assistance to team members, including booking travel/itineraries, and coordinate with travel managers and HR regarding entitlements.
• Assist with the procurement of supplies and the management of office equipment, keep inventories up to date.
- – Administrative and logistical support and event coordination
• Provide logistical and operational support for training sessions, workshops and conferences, including supplier coordination, room/venue booking, catering services and communication for participant confirmation.
• Assist in the preparation of reference documents, agendas and attendance registers.
- – Knowledge management and communication
• Maintain a well-organized repository of documents, both digital and physical if necessary, as well as knowledge sharing and institutional memory systems.
• Provide administrative and logistical support for the integration of new employees, interns and consultants.
• Assist staff in navigating the digital repository to find the most recent and relevant resources.
• Draft and edit internal communications, including meeting minutes, and contribute to the development of procedural guides as needed

• Use AI and data visualization tools to obtain synthesized information and presentations.
• Maintain digital archives in accordance with UNICEF guidelines on digital workforce and data protection.
• Promote digital solutions and help colleagues adopt new tools to increase efficiency.

- – Emergency assistance and flexibility
• Assistance in case of emergency and/or workload overload by redefining priorities and providing accelerated administrative and logistical support.

Minimum requirements:
- Education:Â A high school diploma is required, preferably supplemented by technical or university courses related to the work of the organization.
- Professional experience  : At least five years of relevant professional experience in the administrative or clerical field are required.
- Language requirements  : Fluency in French is required. Knowledge of another official UN language is considered an asset.
