Job Description
OBJECTIVES OF THE PROGRAMME
Country Office Administrative Support Units (CSUs) have been established in the organizational chart for a number of reasons, including: providing support to managers and staff members to enable them to fully exercise their responsibilities in the GSM/BMS environment; ensuring compliance with WHO policies, procedures, rules and regulations in all transactions or for all administrative and financial matters, within the context of an institutional resource planning (ERP) system.
DESCRIPTION OF DUTIES
– The incumbent will ensure the smooth running of work with regard to office activities, coordinating actions with other support staff members of the team and in consultation and collaboration with the SMO assistant; Ensure that reports and technical documents comply with WHO standards, rules, practices and procedures, editing and correcting them as necessary before submitting them for signature or authorization by the competent authority. – Use appropriate monitoring tools, monitor progress and ensure that deadlines and timeframes are met and that correspondence and inquiries are answered in a timely manner. – In close collaboration with other support staff members, establish and/or maintain filing systems; Continuously review the archiving system to ensure that information is up-to-date and used effectively and efficiently. – Obtain documents and information from internal and external sources as needed; conduct information searches (library, Internet) upon request. – Coordinate the compilation of technical documents requested and provided by professional staff, to ensure that they are compiled, formatted and assembled logically to facilitate the team’s work.
REQUIRED QUALIFICATIONS
Education
Essential : A high school diploma followed by training in administration and/or management.
Desirable : Training in secretarial work and/or an administrative field is desirable.
Experience
Essential : A minimum of four (4) years of experience in a position of responsibility in activities related to program management, budgeting, and/or accounting.
Desirable : Experience in administrative support positions at WHO or another United Nations agency is an asset. Experience with Oracle-based systems or other ERP systems is an asset.
Skills
Knowledge of administrative and office procedures and systems such as word processing, file and archive management, form design and other office procedures and terminology.

Essential: Expert knowledge of Portuguese.

REMUNERATION
WHO offers staff in the General Services category an attractive remuneration package, which for the above position includes an annual net base salary starting at XOF 11,467,000 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
